How can I filter clients according to what was discussed in the chat / Quick Replies or Automatic responses in a spreadsheet?
In order to filter queries by automatic responses or any chosen text, we must proceed with a filter in a spreadsheet. This will be useful for searching for text that has been answered by an Autoresponder or a Custom Conversation Flow and has not been recorded in the Additional Questions columns.
To filter from Google Spreadsheets
- You have to select all of Column I: I, which is called "Message"
- Click on the Data tab and choose Create a Filter
- Next, we must click on the Filter icon (an inverted pyramid) on the header of column I where it says "Message"
- Here we must click on the dropdown where it says "Filter by condition" and then on the dropdown choose the option "Contains Text".
- As a last step we must write the searched text in the space below and then click on “Ok” and the filter will only show conversations that contain a specific text value
To do it from Ms Excel, you can proceed as follows
- You have to select all of Column I: I, which is called "Message"
- Now Click on "Data"
- Then, within the Sort and Filter workgroup, in the central area below the tabs, click the Filter icon.
- As you can see now in row 1, where the table headings are, there are black arrows that you can click on and when doing so, a series of actions are displayed.
- By clicking on Text Filters and then on "Contains ..." you will be able to filter Only the rows that in the specified column contain the text / phrase / word fragment you have chosen. This filter must be done in column I: I since it contains the entire conversation
We recommend using these filters in case of concatenating Automatic Responses to Quick Replies and Custom Conversation Flows
